Who we are
DoorReply is a software platform for property management companies. DoorReply is registered with the Dutch Chamber of Commerce (KvK) under number 98582232 and based in the Netherlands. In this policy, "DoorReply", "we" and "us" mean DoorReply.
Questions about privacy? Email info@doorreply.io.
Our two roles
- For our own customers and website visitors, we decide how your data is used (we are the "controller"). This covers your account, billing and anything you send us.
- For the people our customers contact (for example property owners, renters and leads), the property management company decides how their data is used and we process it on their behalf (we are the "processor"). If you received a message from a property manager through DoorReply, that company is your first point of contact for privacy questions. We will help them answer you.
What we collect
- Account details: name, business name, email address, phone number and login information.
- Billing details: handled by our payment provider. We do not store full card numbers.
- Contact and conversation data our customers store in DoorReply: names, phone numbers, email addresses, property details, messages, call recordings (where enabled) and notes.
- Messaging consent records: when, where and how a person agreed to receive text messages, and any opt-out.
- Technical data: IP address, browser type and logs needed to keep the service secure and working.
This website does not use advertising or tracking cookies.
How we use it
- To provide the service: sending and receiving texts, emails and calls, booking appointments and running follow-ups that our customers set up.
- To run your account, bill you and give support.
- To keep the platform secure, prevent abuse and meet legal duties.
Our legal bases under the GDPR are performance of our contract with you, our legitimate interest in running a secure service, legal obligations, and consent where it is required.
Text messaging (SMS) and mobile information
We only share phone numbers and message content with the service providers that deliver the messages (such as our telecom provider), and only to deliver them. We never sell or rent phone numbers or consent records, including to lead generators or data brokers.
You can stop text messages at any time by replying STOP. Reply HELP for help. See our SMS terms for details.
Who we share data with
We use a small number of trusted providers to run DoorReply:
| Provider | What for |
|---|---|
| Twilio | Sending and receiving text messages and calls |
| Postmark | Sending and receiving email |
| Convex | Database and application hosting |
| Vercel | Website and app hosting |
| Cloudflare | Domain and network security |
| Stripe | Payments |
Some providers store data in the United States. Where data leaves the European Economic Area, we rely on the EU-U.S. Data Privacy Framework or the European Commission's Standard Contractual Clauses.
We may also share data when the law requires it, or to protect our rights and the safety of others.
How long we keep it
We keep account data for as long as your account is active and for up to 7 years after for tax and legal records. Our customers decide how long their contact data stays in DoorReply; when they delete it, or close their account, we delete it from live systems within 30 days and from backups within 90 days. Opt-out records are kept so we can keep honouring them.
Your rights
Depending on where you live (for example the EU, the UK, California or Canada), you may have the right to access, correct, delete or export your data, to object to or limit how it is used, and to withdraw consent. Email info@doorreply.io and we will reply within 30 days. We never treat you differently for using these rights. In the EU you can also complain to your local data protection authority; in the Netherlands that is the Autoriteit Persoonsgegevens.
Security
We protect data with encryption in transit and at rest, access controls, two-factor login for staff and regular security testing. No system is perfect, and we will tell affected customers promptly if a breach affects their data.
Children
DoorReply is a business tool and is not meant for anyone under 18.
Changes
If we change this policy we will update the date at the top. For important changes we will tell customers by email before they take effect.
